Stellivox / CRM and automated follow-up

Every lead in one place, followed up until they book.

We set up a CRM with a pipeline you can read at a glance, connect your website, phone and ads to it, and automate the follow-up. New leads get an instant reply and reminders for 14 days. You get told what needs you.

Who it's for

  • Businesses running on memoryEnquiries live in an inbox, a phone, a notepad and your head.
  • Businesses that quote and never chaseThe quote goes out, the customer goes quiet, and nobody follows up.
  • Businesses with more than one person handling leadsNobody is sure who replied to whom, or whether anyone did.
  • Businesses that have outgrown a spreadsheetIt worked at ten enquiries a month. It doesn't at fifty.

Where leads get lost, and what the system does instead

What goes wrong
What the system does
An enquiry comes in while you're on a job and gets answered that evening.
The lead gets a reply and a booking link within seconds.
They don't respond to the first message, so that's the end of it.
Reminders go out on days 1, 3, 7, 10 and 14, and stop the moment they book.
You can't tell how many open quotes you have, or what they're worth.
A pipeline shows every lead by stage, with its value.
People book and then don't turn up.
They get a confirmation, a reminder the day before and another an hour before.
Leads who never reply are silently forgotten.
After day 14 you get an email saying so, so you can ring them or close the card.

CRM and follow-up questions

What is a CRM, and do I need one?

A CRM is one place that holds every lead and customer, with a pipeline showing where each one stands, for example new lead, quote sent, won or lost. If enquiries currently live in your inbox, phone and head, a CRM stops them being forgotten.

What is automated follow-up?

Automated follow-up means messages are sent to a lead on a schedule without anyone remembering to do it. A new lead gets an instant reply, then reminders over the following days, and the sequence stops as soon as they book or reply.

What happens to leads who do not reply?

They are followed up automatically for 14 days. If they still haven't booked, the reminders stop and you get an email telling you, so you can call them yourself or mark them as lost.

Will the messages sound like a robot?

No. They are written in plain language in your name and sent from your own email address or number. We agree the wording with you before anything goes live.

Can it connect to my existing website and phone number?

Usually, yes. Website forms, phone calls, chat and Facebook and Instagram lead ads can all feed the same pipeline. We check what you have on the first call.

How does it reduce no-shows?

When someone books, they get a confirmation straight away, a reminder 24 hours before and another one hour before. The appointment also shows on your pipeline so you can see it coming.
